Logging Sets by Voice

Se aplica a: Apps y navegador

Voice logging on the workout screen is switched off today. This guide says what the screen shows, what a member can do instead, and which spoken phrases the app understands when voice is on.

What Happens Today

Voice logging is for members, on the screen where a workout is logged. It is switched off today: the round microphone button below Log Set is greyed out, and the line under it reads "Voice logging — not available right now". Nothing is recorded.

What You Can Do Instead

  • Type the set into Reps, Weight and RPE (1-10), then tap Log Set. Weight and RPE are optional.
  • When a Last time row shows above those fields, tap it to fill them in with the numbers from the last time you did that exercise.
  • The Repeat, Skip and Next buttons under the microphone work by tapping, and they still work while voice is off. Repeat logs again the last set you logged on this screen. Skip and Next both move to the next exercise.

How It Works When Voice Is On

  1. Open a workout: tap Start Workout on Home, or tap a scheduled workout in the Workouts tab.
  2. Tap the round microphone button below Log Set.
  3. If you have not allowed it before, the app asks you to allow it to collect your voice and to send it to Deepgram, the speech-to-text service it uses. Your phone or browser also asks to use the microphone.
  4. When "Listening..." shows, say one set or one command.
  5. Tap the button again to stop. The app acts on what you said only when you tap to stop.

Voice logging needs an internet connection.

Set Logging Commands

These phrases log a set when voice is on. The set is saved when you tap to stop.

  • "10 reps at 185" → Logs 10 reps at 185. "10 reps with 185" works the same way.
  • "185 for 10" → Logs 10 reps at 185.
  • "8 reps" → Logs 8 reps with no weight.
  • "repeat" → Logs again the last set you logged on this screen, with the same reps, weight and RPE.

What to Know

  • Say the word "reps", or use the "185 for 10" form. "12 at 225" and a weight said on its own are not understood.
  • The weight is saved in the unit shown on the Weight field. Saying "pounds" or "kilograms" does not change the unit.
  • The words the app heard show under the microphone button. The numbers have to show there as digits.
  • When an exercise is being logged by time, a spoken set is not logged. The screen says "This exercise is logged by time. Enter the seconds."

Navigation Commands

  • "skip" or "next" → Moves to the next exercise. On the last exercise it opens the Complete Workout prompt.
  • "rest 90 seconds" → Starts a 90-second rest timer. "rest 2 minutes" works too. "rest" with no time does nothing.
  • "done" or "finish workout" → Opens the Complete Workout prompt. The workout is completed only when you tap Finish there.

There is no voice command to go back, to stop the rest timer, or to pause a workout. Tap Previous Exercise to go back and Skip Rest to end the timer. Nothing on the workout screen pauses a workout.

Troubleshooting

The microphone button is greyed out:

  • Voice logging is switched off today. Type the set and tap Log Set.

"Voice needs your permission":

  • You have not allowed the app to collect your voice or to send it to Deepgram. Turn it on under Settings → Privacy & Consent.

"Failed to start voice input":

  • The microphone could not be opened, or the connection could not be made. Check that the app or your browser is allowed to use the microphone, check your internet connection, and tap the button again.

"Command not recognized":

  • Read the words under the microphone button to see what the app heard.
  • Say one of the phrases in this guide, such as "10 reps at 185" or "repeat".

Wrong set logged:

  • A logged set cannot be edited or deleted on the workout screen.

Logging a Meal from a Photo

Se aplica a: Apps y navegador

Photo food logging does not work today. The app takes the photo, but the step that identifies the food is not connected. This guide says what the screen does and how to log the meal by searching instead.

What Happens Today

Photo food logging is for members, in the Nutrition tab. It does not work today: the app can take or choose a photo, but the service that would identify the food is not connected, so no photo becomes a food entry.

After you tap Analyze Food, the screen shows "Food recognition is temporarily unavailable. Please log your meal manually." Nothing is added to your food log.

The Steps on the Screen

  1. Go to the Nutrition tab.
  2. Tap the + button at the bottom right, then the camera button. The Photo Food Logger opens.
  3. Tap Add Photo, then choose Take Photo or Choose from Gallery.
  4. Tap Analyze Food.
  5. The message above shows. Tap Dismiss.

The same message shows under Add Food → Photo → Take Photo.

When the Photo Food Logger Does Not Open

  • It opens only when your trainer's plan includes photo logging. When it does not, the camera button opens My Subscription instead.
  • It needs an internet connection. Without one the page reads "Available When Online".

Logging the Meal Another Way

  1. Go to the Nutrition tab and tap the + button at the bottom right.
  2. Tap the fork-and-knife button. The Add Food page opens on Search.
  3. Type the name of the food.
  4. Tap a result, enter the number of servings, and tap Log Food.

Log each food in the meal the same way.

The AI Coach Chat (Ask Aurora)

Se aplica a: Apps y navegador

Ask Aurora is an AI chat for trainers, owners and admin assistants. It is not available today. Members have no AI chat: their Ask coach button opens a message to their trainer.

What It Is and What Happens Today

The AI coach chat is called Ask Aurora. It is a chat page for trainers, owners and admin assistants, and it opens when the account's plan includes AI coaching.

It is not available today. The page reads "Ask Aurora is not available right now." and the message box is switched off, so nothing can be typed or sent.

Members

Members have no AI chat. On a member's Home, Ask coach and the Ask your coach card open a message thread with the member's trainer.

Where the Chat Is

  • Home: The Ask Aurora button at the bottom right. While the chat is off it reads "Ask Aurora · not available right now" and cannot be tapped. On a phone-width screen it is a round button with no words on it.
  • More → AI Coach, for trainers: Opens the page, titled AI Coach, with the notice above.

The chat icon at the top of the screen is not the AI chat. It opens Messages, your conversations with people.

Privacy & Data

Who can read a chat

Chat messages are stored on the account of the person who wrote them. No screen in the app shows them to anyone else, and a request from another signed-in person to read them is refused.

Review AI Responses, under Settings → Coach Brain AI, does not list chat messages. It lists replies the AI drafted to members' check-ins.

What the chat is sent

  • Nothing is sent to the AI today, because the chat is off.
  • The chat page is built to send a question with your name and the last 10 messages of the conversation.
  • The chat does not read any program, workout, nutrition log or wearable data, or a trainer's methodology.
  • Your personal data is not used to train public AI models.

Conversation history

There is currently no in-app way to delete an individual message or a whole conversation. To ask for your account and its data to be deleted, go to Settings → Delete Account. You can review what you have agreed to under Settings → Privacy & Consent.

Building Workouts and Programs

Se aplica a: Apps y navegador

Build a workout from exercises, save it, and assign it to a member for a date. A program of several weeks can be built, but it cannot be assigned to a member today.

Creating a Workout

Opening Workouts

  • On a wide screen, such as a computer: Workouts in the side menu
  • On a phone: More → Workouts

Building the Workout

  1. On the Workouts page, tap the + button at the bottom right. The New Workout page opens on Manual.
  2. Enter a Workout Name, such as "Upper Body Push". The Description is optional.
  3. Tap Add Exercise.
  4. Search for an exercise and tap Add on its card. It joins the workout with 3 sets of 10 reps and 90 seconds of rest.
  5. Change the fields on the exercise's card. Drag a card to change the order, or tap the bin icon to remove it.
  6. Repeat to add more exercises.
  7. Tap the save icon at the top right. A workout needs a name and at least one exercise.

The saved workout appears on the Workouts page. Tap Edit to change it, or the three dots for Duplicate and Delete.

Fields on Each Exercise

  • Reps or Time: Whether the exercise is set by reps or by time
  • Sets: Number of sets, from 1 to 20
  • Reps: A number or a range, such as "10" or "8-12"
  • Time per set: For a timed exercise, such as "30s", "5 min" or "1:30"
  • Rest (seconds): Rest between sets, from 0 to 600 seconds
  • RPE (optional): Rate of perceived exertion, from 1 to 10
  • Notes (optional): A short instruction, such as "Pause at bottom"
  • Tempo (optional): Lowering, pause, lifting, pause, such as "3-0-1-0"

A workout has no weight field and no RIR field. In a program, each exercise can take a weight, a % of 1RM or bodyweight plus load, and an RIR target from 0 to 10.

Exercise Library

MyTrainerOS comes with more than 130 exercises. You choose from them in the Add Exercise search when you build a workout.

Exercise Categories

Each exercise has one category: Strength, Cardio, Flexibility, Balance or Plyometric. Its card shows the category, the main muscle and the equipment.

Finding Exercises

  • Smart Search: Selected when the search opens. Type a description of what you need.
  • Keyword: Type part of an exercise's name or description.

When Smart Search finds nothing or fails, the list shows keyword matches instead. The search has no filters for muscle, equipment or category.

Custom Exercises

The Add Exercise search has no button to create an exercise of your own. In a program, type a name into the exercise search and tap Use "…" as written to add an exercise by that name.

Building Programs

A program is weeks of training days. Each day is built in place from sections and exercises. A program cannot be assigned to a member today (see Assigning Workouts).

Creating a Program

  1. Open Workouts and tap Programs — weeks of training days.
  2. Tap the + at the top right, or New program when the list is empty.
  3. Fill in Name, Goal, Level, Weeks (1 to 52) and Training days a week (1 to 7).
  4. Tap Create and open. The weeks and days are created empty.
  5. Tap a week, then a day.
  6. Tap Add section. Choose a Label, such as Warm-up or Strength, and a Structure, such as Straight sets or Superset. Tap Save section.
  7. In the section, tap Add exercise, search, and tap an exercise.
  8. Tap the exercise to set its sets, reps or time, load, rest, tempo, RIR target, RPE target and coaching note. Tap Save.

Weeks and Days

  • Deload week: A switch on each week. Turn it on to mark that week as a deload week.
  • Copy week to…: Copies a week's days, sections and exercises to another week or to a new one.
  • Copy day to…: Copies a day to a day of any week.
  • + Week adds a week. Delete week removes one.
  • A day with no workout shows as Rest. Tap it to add a workout to that day. Make rest day turns a day back into a rest day.

A program has no phases, and existing workouts cannot be placed on its days.

Progression

MyTrainerOS does not progress a workout or a program automatically, and a program has no progression rules. When you assign a workout and choose the member, the Progression co-pilot and the Weekly volume co-pilot (last 7 days) show suggestions worked out from that member's logged sets. They are suggestions only: nothing is changed for you and nothing is sent to the member. When AI suggestions are turned off for the member, the page says so and shows none.

Templates

Templates are for single workouts, not programs. In the workout builder, tap Save as Template to save a copy of the workout you are building under a name you choose. Your saved workouts are listed under Templates when you create a new workout: tap one to load it, change it, and save it as a new workout.

Assigning Workouts

Assigning a Workout

Only a member's own trainer can assign that member a workout.

  1. Open Workouts and find the workout's card.
  2. Tap Assign. The button is shown to trainers. An owner's Workouts page does not have it.
  3. On Assign Workout, choose the Member. Each assignment is for one member.
  4. Pick the date, from today to 90 days ahead. To pick several dates, tick Assign to multiple dates.
  5. Add Trainer Notes if you want to. They are optional.
  6. Tap Assign at the top right.

The member finds the workout in their Workouts tab, marked Scheduled, with its date.

From a Member's Profile

A member's own trainer also sees Assign Workout under the pencil icon at the top right of the member's profile. It opens Assign Workout with no workout chosen, and that page has no way to choose one, so its Assign button stays greyed out. Assign from the Workouts page instead.

Assigning a Program

A program cannot be assigned to a member today. Neither the program builder nor a member's profile has an assign button for programs. To give a member their training, assign single workouts on the dates you choose.

Tracking Leads on the Pipeline Board

Se aplica a: Apps y navegador

Add leads, move each one through the stages by hand, and record calls, emails and notes on its timeline.

Understanding the Pipeline

The pipeline is a board with one column for each stage and one card for each lead. Open it from More → Leads, or from Business → CRM. The page is titled CRM & Marketing, and it opens when the account's plan includes the CRM.

Pipeline Stages

  1. New: Just added, no contact yet
  2. Contacted: You have reached out
  3. Qualified: Interested, and a fit for your services
  4. Consultation: A consultation is scheduled or done
  5. Won: Set by the app, not by hand (see below)
  6. Lost: Not interested, or did not sign up

Won and Lost

  • You cannot move a lead to Won. The app refuses with the message "A lead moves to Won on its own when the member pays. You can’t move it there by hand." Nothing in the app moves a lead to Won today, so the Won column stays empty.
  • The board loads open leads only. A lead you move to Lost is not on the board the next time it loads.

Adding & Managing Leads

Adding a New Lead

  1. Go to More → Leads.
  2. Tap New Lead.
  3. Fill in the form:
    • Name (required)
    • Email (required)
    • Phone (optional)
    • How did you hear about us? (required): Website, Referral, Social Media, Advertisement or Other
    • Expected value ($) (optional)
    • Tell us about your fitness goals (optional): The notes box
  4. Tap Add Lead.

Moving a Lead to Another Stage

On the board: Drag the lead's card to another column and drop it. On a phone the columns scroll sideways, so use the lead's page instead.

On the lead's page:

  1. Tap the lead's card to open Lead Details.
  2. Tap the stage shown beside the lead's name.
  3. Under Move lead to, choose the new stage. Won is not on the list.

Editing a Lead

On Lead Details, tap the pencil icon at the top right.

Lead Sources & Analytics

Lead Sources

Each lead has one source, chosen when you add it: Website, Referral, Social Media, Advertisement or Other. You cannot add a source of your own. For Referral or Other, a second field appears for the detail, such as the name of the person who referred them.

Figures at the Top of the Board

  • Total Leads: The number of leads on the board
  • Win Rate: Won leads as a share of the leads on the board
  • Total Value: The sum of the Expected value entered on those leads

The board loads open leads only, so Win Rate reads 0%.

What Each Source's Leads Cost

The account owner has a card called What your leads cost under More → Growth Analytics, which opens when the account's plan includes advanced analytics. For This month, Last 3 months or Last 12 months it lists each source with:

  • Cost: What you entered with Add a cost. Nothing is estimated.
  • Leads: The leads created in those months with that source
  • Cost per lead: The cost divided by the leads
  • Paid sign-ups and Cost per paid sign-up: A paid sign-up is a lead that reached Won. Nothing moves a lead to Won today, so no new paid sign-ups are counted.

Follow-Up & Automation

Recording Contact with a Lead

Open a lead to see its Activity Timeline.

  • Call: Adds "Called" and the lead's name to the timeline, then opens your phone's dialer. It needs a phone number on the lead.
  • Email: Adds "Emailed" and the lead's name to the timeline, then opens your email app with the lead's address. MyTrainerOS does not send the email itself.
  • Add Activity: Adds a Note, Call, Email or Meeting with details you type.

Scheduling a Follow-Up

Tap Schedule on the lead's page. It sets the follow-up to 9:00 AM the next day and adds a note to the timeline that starts "Follow-up scheduled for". You cannot choose another date or time, and the app does not send a reminder when that time comes.

Reply Reminders

The account owner sees a Reply reminders setting at the top of the Leads page: 5 min, 15 min, 30 min, 1 hour or Off. It reminds the coach holding a new lead, in the app, when nobody has replied after that time. It covers leads that arrive from outside, such as through a lead form. A lead you type in yourself starts no clock.

Email Sequences

You can create and save an email sequence, but a sequence does not enrol anyone or send email today. To see the page, go to More → Leads → Email Analytics → Email Sequences. The email guide has the details.

Newsletters, Email Templates and Sequences

Se aplica a: Apps y navegador

Write a newsletter and send it to your confirmed subscribers. Email templates and sequences can be created and saved, but a sequence does not send email today.

Sending a Newsletter

The email pages are on the Leads page: go to More → Leads and use the row of buttons under the title. To send an email, use Newsletters.

Who Gets a Newsletter

A newsletter goes to all of your confirmed newsletter subscribers: people who signed up through your signup form and confirmed their address. You cannot choose members, leads or tags as recipients. Signup Widget, in the same row, gives you the code to put the signup form on your own website.

Writing and Sending

  1. Tap Newsletters.
  2. Tap Compose First Newsletter, or the + button once you have one.
  3. Enter a Subject and, if you want one, a Preheader: the preview text an inbox shows beside the subject.
  4. Write the Body as plain text. A blank line starts a new paragraph. HTML typed here is sent as written, not as formatting.
  5. Tap Save as Draft.
  6. On the draft, tap Send to followed by your subscriber count, then Send to confirm.

The newsletter is sent at once and cannot be unsent. There is no preview and no scheduled send. An unsubscribe link is added to every email. With no confirmed subscribers, nothing is sent.

Campaigns Are a Planner

Campaigns, in the same row, does not send email. A campaign is a name, an optional objective, optional start and end dates, and a timeline of Email and Social touchpoints that you add, each with an optional date and time. Owners also have it under More → Campaigns.

Email Templates

There are no ready-made templates. The Email Templates page starts empty and lists the ones you create. Open it from Email Analytics → Manage Templates. Trainers also have it under Business → Email.

Tap Create Template, or the + button once you have one. Give it a Template Name and a Subject, write the Email Body, and choose a Category: Welcome, Follow-up, Consultation, Onboarding, Check-in, Promotion or Other.

Templates are used as the steps of an email sequence. A newsletter does not use them.

Email Sequences

A saved sequence does not enrol anyone or send email today. You can create, edit, pause and delete sequences, and the page marks each one Active or Paused, but nothing in the app starts a sequence for a lead or a member.

Creating a Sequence

  1. Go to More → Leads → Email Analytics → Email Sequences.
  2. Tap Create Sequence, or the + button once you have one.
  3. Enter a Sequence Name and choose a Trigger.
  4. Tap Add Email Step. For each step, choose an Email Template you have already created and a wait in days and hours.
  5. Tap Save.

Triggers You Can Choose

  • When lead is created
  • When member onboards
  • When workout is missed
  • When subscription is expiring
  • When lead status changes
  • On specific date
  • Manual enrollment

The trigger is saved with the sequence. None of them starts a sequence today.

Tracking Performance

Newsletters

A sent newsletter shows the date it was sent and the number of recipients. It does not show opens or clicks.

Email Analytics

Email Analytics has tiles for Emails Sent, Opened, Clicked and Open Rate, and an Open Rate and a Click Rate, for the last 7, 30 or 90 days. Nothing in the app records a send there today, newsletters included, so the figures read zero and the list reads "No emails sent yet". Owners also reach the page from Business → Marketing.

Campaigns

A campaign shows its status and its touchpoints. It has no sent, open or click figures.

Wearable Integration

Se aplica a: Apps para teléfono y tableta

Connect Apple Health (iPhone and iPad) or Health Connect (Android) to bring in your sleep, resting heart rate, HRV and steps.

Connecting Apple Health or Health Connect

What MyTrainerOS Connects To

MyTrainerOS reads health data from Apple Health on iPhone and iPad, and from Health Connect on Android. It has no direct connection to Garmin, Fitbit, Whoop, Oura, Polar, Suunto or Google Fit. Data from a watch, ring or band reaches MyTrainerOS only if that device's own app writes it to Apple Health or Health Connect.

In a browser, the page says that health data sync is available on the mobile app.

Connection Steps

  1. Go to Settings → Wearable Devices. The page that opens is titled Health Data and has one card: Apple Health on iPhone and iPad, Health Connect on Android. There is no device brand to choose and no device maker's account to sign in to.
  2. If the card has a Connect Apple Health or Connect Health Connect button, tap it.
  3. If you have not yet allowed MyTrainerOS to collect this data, a sheet titled Turn this on? opens. Tick the box and tap Allow. If you tap Not now, nothing is connected.
  4. Allow access in the Apple Health or Health Connect prompt that follows.

The card says only what the phone reports. Before you connect it says Not connected. On Android it then says Connected, Connected, no data yet or, when only some of the four metrics are allowed, Connected for 2 of 4, because Health Connect reports which metrics an app may read. On iPhone and iPad it says Data received or No data received yet: Apple Health does not tell an app whether reading was allowed, so the card shows what has arrived instead. Under the status, What MyTrainerOS reads lists the four metrics with the latest day each one arrived.

Connecting reads the last 7 days. After that, tap Sync Now or pull the page down to read the last 7 days again and bring in newer data. Nothing is read in the background today.

If Sync Now answers "Sync incomplete: Health data processing consent required", go to Settings → Privacy & Consent, turn on collecting your heart rate, sleep and activity data under Collect, and sync again.

What Data Syncs

Metrics MyTrainerOS Tracks

  • Sleep: Time asleep, and the time in each stage (deep, REM, light) where your device records stages. Time awake during the night is counted separately and is not part of the total, and time in bed is not sleep. A night is filed under the day you woke up.
  • Resting heart rate: The day's resting heart rate: the average of that day's readings, as Apple Health or Health Connect works it out
  • Heart rate variability (HRV): The day's most recent reading, labelled with its measure. An iPhone supplies SDNN and an Android phone supplies RMSSD. They are two different measures, so an SDNN number and an RMSSD number cannot be compared.
  • Steps: The day's total, as Apple Health or Health Connect adds it up, so steps your watch and your phone both counted are counted once

What We DON'T Sync

Calorie burn estimates: never synced or displayed, on purpose. Wearable calorie estimates are not accurate enough to program training or nutrition against.

For accurate calorie tracking, log your food intake instead.

Using Recovery Data

How to Interpret HRV

HRV (Heart Rate Variability) measures your nervous system recovery:

  • Higher HRV: Better recovered, ready for hard training
  • Lower HRV: Still recovering, consider lighter training

Sharing Data with Your Trainer

Your trainer can use your wearable data to adjust your program. Nothing is shared until you turn it on:

  1. Go to Settings → Privacy & Consent
  2. Find the section Share with followed by the name of your gym or trainer. If you do not train with a gym or a coach yet, the page says sharing becomes available once you do.
  3. Turn on the switch for your wearable data. One switch covers it as a whole (heart rate, sleep and activity); there are no separate switches for sleep, resting heart rate, HRV or readiness scores. Tap What this covers under a switch to read what it includes.

The switch is off until you turn it on, and it can be turned on only while collecting that data is on; otherwise the page says "Turn on collecting it first." Each switch takes effect as soon as you change it; there is nothing to save. What you share is visible to your gym's owner and to the trainer assigned to you.

Consejos
  • Wear your device to bed every night for consistent sleep tracking
  • HRV is most accurate when measured first thing in the morning
  • If HRV drops significantly, prioritize sleep and stress management

Daily Operations Guide

Se aplica a: Apps y navegador

Your daily workflow for keeping the gym running smoothly — from opening tasks to end-of-day wrap-up.

Morning Routine

Start-of-Day Checklist

  1. Check the Schedule: Review today's sessions in the Schedule tab. Note any gaps or double-booked slots.
  2. Review Messages: Read and answer what arrived overnight in the Messages tab. A member's in-app messages go to their own trainer, so an admin assistant sees messages from teammates only. To reach a member, an admin assistant sends a text from More → Text Members.
  3. Check for Past-Due Members: An owner can open the Overdue tile on the dashboard, which lists invoices that are open and past their due date. The Members tab also has a Past Due filter, but today nothing updates a member's status when a payment fails, so that filter does not find them. An admin assistant has no screen that lists unpaid invoices.
  4. Prepare for Arrivals: Note the first few sessions so you can greet members by name.
Consejos
  • Set a recurring alarm 15 minutes before the gym opens to run through this checklist.
  • Flag any scheduling conflicts early — it's easier to resolve them before members arrive.

Handling Check-Ins

When a Member Arrives

  1. Find their session on the Schedule tab and tap it
  2. Tap Open session, then tap Start session. Start session is offered from 30 minutes before the session until it ends. An admin assistant sees Open session only with the Manage all schedules permission; an owner sees it on sessions they coach.
  3. Tell the trainer the member has arrived. The app notifies the trainer only when the member taps I'm here in their own app.

Walk-Ins Without a Session

If a member arrives without a booked session, check trainer availability and create one on the spot if possible. If no trainers are free, offer to book the next available slot.

Consejos
  • A warm greeting makes a huge difference in member retention.

End-of-Day Tasks

Closing Checklist

  1. Review no-shows: Check for members who missed sessions. The system may auto-mark them, but verify.
  2. Send follow-ups: Message any no-show members to reschedule.
  3. Preview tomorrow: Glance at tomorrow's schedule to flag any issues early.
  4. Update notes: The account owner or the member's trainer can add a note on the Notes tab of the member's page. A note is visible only to the person who wrote it. An admin assistant cannot add notes.

Member Management Guide

Se aplica a: Apps y navegador

How to look up members, manage their accounts, communicate effectively, and escalate issues.

Finding Members

Member Lookup

On the Members tab, search by name or email. To search by phone number too, open Member Lookup from your Dashboard. Results appear as you type.

What You Can See

  • Contact information (name, email, phone)
  • Subscription status. A member's account balance and ledger show only if the account owner has turned on Process refunds for you.
  • Session history

What You Cannot See

  • Health data, body stats, or progress photos
  • Workout logs or nutrition data
  • AI coaching conversations
  • Notes about a member. A note is visible only to the person who wrote it, and an admin assistant cannot add one.

A member chooses which kinds of health data to share. What they share is visible to their trainer and to the gym's owner, not to an admin assistant. Team Management has View health data and View nutrition data switches that the account owner can turn on for an assistant; today neither one shows you a member's health profile, body stats, photos, workout logs or nutrition data.

Understanding Member Status

Status Badges

On the Members list, each member's card carries a status badge:

  • Active (green) — Current paying member in good standing
  • Trialing (blue) — On a free trial period
  • Past Due (yellow) — Payment failed or overdue
  • Canceled (red) — Subscription ended
  • Inactive (gray) — No status is recorded for the member

On a member's own page, the Plan card shows Canceled and Trialing in gray.

Today MyTrainerOS does not change this status when a member pays, misses a payment or cancels, so the badge and the list's status filters do not follow a member's payments. The account owner sees invoices that are open and past their due date from the Overdue tile on the dashboard.

For Past Due members, check if their card needs updating and send a friendly reminder.

When to Escalate

Escalate to a Trainer When:

  • A member has questions about their program or exercises
  • A member reports pain or discomfort during workouts
  • A member wants to change their training goals

Escalate to the Gym Owner When:

  • A member requests a refund
  • A member wants to file a formal complaint
  • There's a safety or equipment concern
  • You need permissions you don't currently have

Payment & Billing Guide

Navigate payment history, invoices, billing status, and understand when to escalate financial requests.

Viewing Payment History

Payment History and Financial Transactions are for the account owner and trainers. An admin assistant has no menu entry for either; for an assistant, only Handling Payment Issues below applies.

Accessing Payment Records

  1. Open the Business tab and tap Revenue. This opens Payment History.
  2. View recent transactions, sorted by date
  3. Each row shows the description, date, amount and status. Rows are not tappable. Where a row has an invoice or receipt, tap View Details to open it; where it has an invoice PDF, tap Download PDF to save it.

Filtering Transactions

On Payment History, filter by All, Paid or Open. For a date range, or for Completed, Refunded and Failed, open Settings → Financial Transactions. There is no filter by member name.

Consejos
  • To export transactions as CSV, open Settings → Financial Transactions, tap Load Transactions, then tap the download icon in the top-right corner.

Handling Payment Issues

Failed Payments

When a payment fails, the system automatically retries. If it continues to fail:

  1. Message the member to update their payment method
  2. The member's app has Settings → My Subscription → Manage Billing, but today that button shows an error for a member instead of opening the billing page. The member's trainer can change the card instead, on the Billing tab of the member's page: Remove the old card, then Add Card.
  3. If unresolved after 3 days, flag it for the gym owner

Refund Requests

Admin assistants cannot process refunds directly. Document the request and escalate to the gym owner with:

  • Member name and transaction details
  • Reason for the refund request
  • Any supporting context

Reading Financial Reports

The reports below are for the account owner and trainers. An admin assistant has no menu entry for them. Revenue Report and Monthly P&L open from Settings, under Business Tools.

Available Reports

  • Revenue Summary: Total collected, broken down by week/month
  • Payment Method Breakdown: On the Revenue Report, sales by how the member paid (session pack, card or cash). A trainer's own Monthly P&L has Revenue by Category. There is no breakdown by service type.
  • Outstanding Balances: Members with unpaid invoices or failed charges

Reports show the figures as of when you load them. Tap Load Report again, or reopen the page, to include new payments.

Communication Guide

Best practices for messaging members, trainers, and the gym owner — including broadcasts and templates.

1:1 Messaging

Who You Can Message

In-app messages go between a member and their assigned trainer, and between staff at the same facility. An admin assistant cannot send an in-app message to a member. The Members tab of Messages has a New message button that lists members, but a message an admin assistant sends from it is refused with "You can't message this person." To reach a member, send a text from More → Text Members (see Broadcast Messages below), or ask their trainer.

Messaging a Teammate

  1. Go to the Messages tab and open the Team tab
  2. Tap an existing conversation, or tap Message beside a teammate's name. There is no search field.
  3. Type your message and send

An admin assistant needs the Message team permission, which the account owner turns on in Team Management.

Best Practices

  • Keep messages professional and friendly
  • Include relevant details (dates, times, amounts)
  • For scheduling changes, confirm the new time explicitly
  • Respond within the same business day when possible

Broadcast Messages

When to Use Broadcasts

  • Holiday hours or gym closures
  • Schedule changes affecting multiple members
  • New class or program announcements
  • Policy updates

Sending a Broadcast

  1. Go to More → Text Members. The page is titled Send SMS.
  2. Choose Broadcast. A broadcast is a text message (SMS). It goes to every member who has a phone number and has opted in to texts. The page shows how many that is, and members who have not opted in are skipped. You cannot choose a group.
  3. Pick a template or write your message, and check the preview
  4. Tap Broadcast to … members, then Send

An admin assistant needs the Send bulk messages permission, which the account owner turns on in Team Management. Without it, Broadcast is disabled and you can still text one member at a time under One member. If the gym's plan does not include text messages, an upgrade page opens instead of Send SMS.

Consejos
  • Broadcasts are delivered as individual messages — recipients won't see who else received it.
  • Avoid sending broadcasts outside business hours unless it's urgent.

Notification Best Practices

Notification Settings

Go to Settings → Notifications to:

  • Turn Push notifications and Email on or off
  • Set Quiet hours and a Daily limit
  • Choose Real-time, Daily digest or Off for a topic, such as Messages. Some topics have In-app, Text and Email switches instead, and some are marked Always on.

An admin assistant is shown the same list of topics as a member. Marketing Emails is not on this page: it is under Settings → Privacy & Consent.
